The role of the Paralegal is to provide support to the Legal, Risk Management, Finance and Human Resources Departments. The position requires exceptional organizational skills, strong attention to detail, and willingness to complete a wide range of assignments. The position requires interaction with employees throughout the organization in support of Company operations across the State of California. The Paralegal reports to Registered In-House Counsel.

ESSENTIAL DUTIES AND RESPONSIBILITIES (including, but not limited to):
Legal – General Duties

  • Assist Legal with review, negotiation, and drafting of commercial construction contracts with developers, municipal entities, and institutional clients.
  • Organize and track files for important transactions; utilize existing file management system while working to improve processes.
  • Work alongside Legal to advise Senior Management of risks associated with Company operations spanning from the contracting phase to project completion.
  • Assist Legal and Project Teams in negotiating business terms of various deals, leases, and other legal instruments.
  • Support Legal and outside counsel in defense of legal claims by coordinating discovery requests, assisting with legal research, and maintaining detailed records.
  • Other duties as assigned.

Legal – Contract Administrator Duties

  • Issue union notifications of applicable trades upon awarded/executed contracts (both long form and short form)
  • Verify CA State License Board status
  • Verify status and signing limit of subcontractor authorized signer
  • Track Performance & Payment Bonds compliance as required
  • Ensure consistency in long form subcontract format
  • Coordinate with Project Manager and Project Accountant to ensure accurate information entered into ViewPoint to generate subcontract
  • Make modifications to subcontracts and necessary and track all revisions
  • Distribute contract through DocuSign for execution – assign to appropriate project team members for review, initial, and signature
  • Assign priority to subcontracts with time constraints and as appropriate during high influx time periods

ADDITIONAL DUTIES AND RESPONSIBILITIES (including, but not limited to):
 Risk Management

  • Assist with defense of third party over actions.
  • Assist with management of general liability claims.
  • Work with Legal, Risk Management, and Company insurance brokers to provide analysis of legal and insurance issues.
  • Other duties as assigned.

Human Resources

  • Assist Legal in supporting various Human Resource initiatives to maintain compliance with numerous labor and employment laws.
  • Assist with tracking, review, and analysis of personnel-related legislative changes.
  • Other duties as assigned.

Effective written and verbal communication skills are required. Excellent organizational skills and an ability to handle multiple tasks are critical. Strong research and report-generating skills are required. Working knowledge of Word, Excel, and Outlook is required. Good listening skills and the ability to understand and follow directions is critical. The Paralegal must able to work effectively in a fast-paced, high volume environment. An ability to interact well with others is extremely important. Database and Viewpoint Construction software experience is helpful, but not required.


A Certificate in Paralegal Studies or Associate Degree in Paralegal Studies is required. Five to ten years of Paralegal experience is required. Experience working in corporate environment is strongly preferred.
